What personal data we collect and why we collect it
The Morris Federation website collects different data depending on the type of activities performed. Some of the following sections will apply to all visitors to the site, while others will only apply to visitors that sign-in to the site.
Analytics
To provide insight into how the website is used, we collect information about the pages you visit on the site, links you follow between pages, links you follow to the site and links you follow to exit the site.
Information collected about your visit includes:
- your country (determined from your anonymised IP address)
- your device type (desktop, tablet, mobile device)
- your operating system
- your browser and browser plugins
- time of visit to page
- metrics (time for page to load in your browser)
This information helps direct modifications to the website based on page popularity and website performance.
To further enhance collected information we will track the subsequent visits to the website from a particular browser, but only where consent has been given by the user to store a cookie on their device.
Cookies
We use cookies to implement various functionality on the website. See this Video from Google for an introduction to cookies, how they are used and how you can control them.
We require your consent to store cookies on your device. When you first visit the site a cookie notice prompting for your consent to store cookies will be displayed. Even if you reject the use of cookies on the website, we will still need to place a single cookie on your device to record that decision.
Your decision regarding cookies will expire after 3 months. At which point you will be asked to accept or reject cookies when you next visit our website.
If you leave a comment on the site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit the login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Contact forms
Various contact forms are available on the website. If you submit a message via a contact form the information you supply will be sent by email to a member of the Morris Federation committee or their nominated representative.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Morris Federation Members
Some areas of the website are only accessible to the designated contact for members of the Morris Federation.
Management of members’ contact information (contact name, team name, email address, etc) is managed on behalf of The Morris Federation by MembershipWorks. Each contact will be an account holder on MembershipWorks and will have a login username and password to authenticate with MembershipWorks.
MembershipWorks accounts are synchronised with the website’s user database. Therefore all MembershipWorks accounts have a corresponding website username. Passwords are not stored on the website servers, instead authentication is handled by MembershipWorks when a user signs into the site to access areas restricted to Morris Federation contacts.
The information synchronised from MembershipWorks to the website is the User ID and the Display Name. The User ID is a technical requirement of having a user on the website. The Display Name is required for the generation of members’ Public Liability Insurance certificates on the website.
Teamfinder
The website provides a search facility for use by all visitors called Teamfinder.
Site visitors can use this facility to search for members of the Morris Federation and retrieve their contact information.
Teamfinder makes use of information provided by MembershipWorks rather than information collected regarding website usage.
Members can specify whether they want to be included in Teamfinder by altering the ‘appear in directory’ setting of their profile in MembershipWorks.
Other website members
In addition to the members of the Morris Federation, there are other categories of website members.
These members are the website administrators and content editors. Accounts for these members on the website shall be created and deleted as needed as directed by the Morris Federation committee.
Who we share your data with
When accessing website pages that require authentication and where authentication is handled by MembershipWorks, then MembershipWorks will be aware that you have signed into the website and the address of the page that you are signing in to. See MembershipWorks’ Terms of Service page for information and links about how they handle personal information.
With the exception of the above authentication process, your data is not shared outside of The Morris Federation.
Data collected by the website shall be visible to website administrators for the purpose of the running of the website and generating reports for the Morris Federation committee regarding website usage and performance, although no personal information is included in such reports.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
Information synchronised from MembershipWorks is retained on the website for as long as the MembershipWorks account exists.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Visitor comments may be checked through an automated spam detection service.
Your data is held on our servers, hosted by Krystal.co.uk. Krystal’s servers are based in the UK their customers’ data does not leave the country.
