Banking – setting up a team bank account

The Morris Federation is not qualified to advise on financial matters, but here are some general comments.

UPDATE: The latest information about the Trust Registration Service, can be found here.

Choosing a bank account

It is generally not wise to try to run your team’s finances through your own personal bank account.  For a start, what happens when you want someone else to be treasurer?  Also, it’s all too easy to get confused over who has paid (or not) and nasty suspicions can sometimes arise which can ruin relationships within the team.

We recommend you take a look at the Voluntary Organisation Banking Guide and their Account finder page.

However, if starting a team account for the first time, it may be easier to look to a bank where you already have personal banking as they know you (necessary for the money laundering regulations) and you know them and their apps/online systems. Check to see if they run either community accounts (many do not) or offer a free small business account.  “Free” usually means no ongoing fees; every bank charges you to pay cash/cheques in and also for cheques going out (if you still use them).

Don’t forget that at some point you may want to hand over to someone else as team Treasurer, so don’t get too hung up about having to use your own bank.

If you are likely to pay in cash collections, it is worth asking the bank’s policy on this – and ensure they have a branch nearby (or have arrangements with your local Post Office, for instance).

Opening a ‘club’ bank account

When opening an account, you will generally need to provide a copy of your team’s Constitution which states what will happen to the money if the team folds. Here are some hints and tips for writing a constitution.

You may also need a copy of the minutes of the meeting where you decided to open an account with the bank. This is so they have evidence that it is a team decision.

You may be asked to provide evidence of the address of your team. The MF Treasurer is happy to provide a receipt for membership showing your team correspondence address for this purpose if needed: Contact us.

Your bank may also ask if you are registered with the Trust Registration Service, so please check our guidance.
